Cancellation Policies 

Cancellations must be submitted in writing to the Organizing Committee.
Refund conditions:

• Until 30 March 2026: No cancellation fee

• Until 15 May 2026: 30% cancellation fee

• Until 17 July 2026: 50% cancellation fee

• After 17 July 2026: No refund

Pandemics, Hazards, and Force Majeure 

All onsite participants must comply with official health and safety regulations announced by the WHO, Government of Türkiye, City of Istanbul, or the Hilton Istanbul Bomonti Hotel & Convention Center.

In the event that ESC2026 cannot be held due to hazards or force majeure, ARKON GROUP reserves the right to cancel the exhibition.
In such cases:

• Booth rental fees will be fully reimbursed.

• ARKON GROUP is not responsible for additional exhibitor expenses (travel, accommodation, booth design, etc.).

Insurance and Liability for Sponsors 

As a sponsor of the General Assembly of the Seismological Commission 2026, it is essential to understand your responsibilities regarding insurance and liability.

Insurance Requirements: 

Sponsors must maintain adequate insurance coverage, including general liability insurance, for all materials, activities, and personnel involved in the exhibition.

Liability Disclaimer: 

The Organizing Committee cannot be held liable for any loss, damage, or injury involving sponsors or their representatives.
Sponsors are fully responsible for their own equipment, materials, and staff.

Compliance:

All sponsors must comply with local laws, safety standards, and environmental regulations during the event.

Security 

Security personnel will monitor the exhibition area during off-hours. 

However: 

• Neither ESC2026 nor ARKON GROUP can guarantee complete protection.

• Exhibitors are strongly advised to remove or secure valuable items daily.
