Registration Policy

  • All registration fees are listed in Euro (€) and include local VAT.

  • To qualify for the listed rates, payments must be completed before the corresponding deadlines.

  • Registrations cannot be confirmed without full payment.

  • Presenter authors must complete their registration by the Early-Bird deadline in order for their abstract to be included in the Scientific Programme.

  • Registration is considered valid only after payment is received. Registrations are non-transferable.

Payment Details

Credit Card Payments

  • Visa and Mastercard payments must be 3D Secure authenticated.

  • Cards without 3D Secure may be declined; participants are advised to contact their bank to activate this feature.

Bank Transfer

  • All fees must be paid in Euro (€).

  • The participant’s full name must be indicated in the transfer description.

  • Bank transfer fees must be covered by the participant. If unpaid, the remaining amount must be settled at the registration desk.

  • After the transfer is completed, the payment receipt must be sent to: info@esc2026.org
    Confirmation of registration will only be issued after the receipt is received.

Terms and Conditions

General

  • Early registration must be accompanied by full payment; otherwise, the late-registration fee will apply.

  • Late registration must be accompanied by full payment; otherwise, the on-site registration fee will apply.

  • Registration for the ESC2026 General Assembly is secured only once the appropriate fee has been paid.

  • In cases of overpayment or double-payment, refund requests must be submitted in writing to info@esc2026.org and will be processed after the conclusion of the Assembly.

Cancellation Policy

Visa Refusal

  • In the event of a visa refusal, a full refund minus a 50 € administrative fee will be issued, provided that:

    • The Organizing Secretariat is notified no later than 6 July 2026 (two months before the Assembly).

    • The official visa refusal letter is submitted toinfo@esc2026.org

General Cancellations

  • Cancellation requests received by 10 August 2026 will be refunded minus a 50 € cancellation fee.

  • Cancellations received after 10 August 2026, as well as no-shows, are not eligible for a refund.

Change of Attendance

  • Changes to attendance are allowed until 10 August 2026, with a 50 € processing fee.

  • After this date, no changes are permitted.

  • Illness or other reasons do not override the fixed cancellation deadlines.

Insurance

Participants are strongly advised to arrange appropriate travel and personal insurance.
The organizers cannot accept liability for personal injury, loss, theft, or damage to personal property occurring during participation in the 40th ESC General Assembly 2026.
Insurance should cover travel, medical issues, and any potential cancellation costs.
